Privacy Policy
1. Who we are
Clearcut Arts Ltd works with dance and arts organisations. Sometimes we hold personal information about people. This policy explains how we look after it.
Clearcut Arts Ltd is committed to handling your personal data responsibly. We follow UK data protection law. This includes the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, as updated by the Data (Use and Access) Act 2025.
Our designated Data Controller is Kyla Booth-Lucking, who can be contacted at kyla@weareclearcut.com with any questions about this policy or how we handle your data.
Your data - Information we may collect
We may collect your name, email address, and sometimes other details, when you:
- book a ticket for one of our events
- sign up to our newsletter
- sign up for a workshop or webinar we run for colleagues and peers
- apply for a job with us
- take part in a survey about a project we are funded to deliver
- give us your details in any other way
Who we share information with
We use a small number of other companies to help us run our work:
- Eventbrite — for event bookings
- Mailchimp, Hubspot and Canva — for our newsletter
- Facebook — for some workshop and webinar sign-ups
These companies only use your information to help us provide our services. We do not sell your information, and we do not let other companies use it for their own marketing.
Some of these companies store information outside the UK, including in the USA. When this happens, we make sure they protect your information properly, in line with UK rules.
How long we keep information
- Newsletter sign-ups — kept for 5 years, then we check if you still want to hear from us.
- Job applications — kept only as long as we need them for the recruitment process.
- Funder survey information — kept only as long as we need it for funder reporting.
We do not keep your information for longer than we need it.
Your rights
You can ask us to:
- show you the information we hold about you
- correct anything that is wrong
- delete your information
- stop using your information in a certain way
- give you a copy of your information
- stop sending you marketing emails — at any time, no reason needed

How to complain
If you are unhappy with how we have handled your information, you can complain to us.

We will:
- confirm we've received your complaint, within 30 days
- look into it
- tell you what we've found, as soon as we can
If you are still unhappy, you can complain to the Information Commissioner's Office (ICO): ico.org.uk
If your complaint is about information we hold for a client (see Section 6), we will pass it on to them and help them sort it out.
Keeping your information safe
We keep your information in password-protected systems. We do not store your card or payment details.
Changes to this policy
We check this policy regularly. If we change it, we will update the date at the top.
Ways we might collect data/your information
Newsletters and event tickets
Newsletter — sent through Mailchimp, Hubspot or Canva. You choose to sign up. You can unsubscribe at any time, using the link at the bottom of any email, or by emailing us.
Event tickets — booked through Eventbrite. We collect your name and contact details to manage your booking, for example to tell you if an event is cancelled. If you tick a box to join our mailing list too, we'll only do that if you say yes.
Workshops and webinars for colleagues and peers
Sometimes we host workshops or webinars for colleagues and peers in the dance sector.
When you sign up:
- We collect your name and email address through Facebook.
- We may also save this in our own spreadsheet or mailing list.
- We may follow up afterwards with a short feedback survey.
We will only add you to our newsletter if you say yes — signing up for a workshop does not automatically mean we'll send you other emails.
Because we use Facebook, Facebook also collects some information about you for its own purposes, such as adverts. You can read Facebook's own privacy information to find out more.
Diversity information for funders
Sometimes a funder, like Arts Council England, asks us to show who took part in a project. We may ask you to fill in a short survey about things like:
- your postcode
- your age
- your gender
- your ethnicity
- whether you are disabled
We only use this to create general statistics, for example "60% of people who came were from [place]". We do not usually share your individual answers with the funder.
We keep this information separately and securely, and only for as long as we need it. We have a more detailed internal document explaining exactly how we look after this information — you can ask to see it.
Work we do for clients
We work with other dance and arts organisations as a consultant. As part of that work, we sometimes collect or store personal information on their behalf — for example, running a survey for one of their projects.
In this case, the client is in charge of that information, not us. We just look after it for them, following their instructions. If you have a question about information collected this way, it's best to ask the client. If you're not sure who that is, ask us and we'll help you find out.
Website & Cookies
We may collect information about your computer, including your IP address, operating system and browser type, for system administration and in order to create reports. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual.
